Reusable checklist templates that run automatically when someone joins or leaves.

What this does

Lets you define reusable task checklists for people joining or leaving your organization, then track each real person's progress through one as a live "instance."

Who can do this

Viewing requires basic onboarding view access; creating/editing templates requires template-management permission; starting a real onboarding or offboarding for a specific person requires instance-start permission — these are three separate permissions, so a role can be given just one of them.

Steps

  1. Go to Staff Lifecycle (Onboarding & Offboarding).

  2. Create a template and add its tasks — the same template type works for either onboarding or offboarding.

  3. Start an instance for a real person joining or leaving, based on the right template.

  4. Track progress as each task on their checklist is completed, and check the lifecycle dashboard's Onboarding/Offboarding counts for anyone who needs attention.

What happens next

Each task on a person's instance can be executed/checked off as it's done. An "Assign an onboarding template" automation action can start this automatically when a new user is created — see "How to create an automation."

Important notes

  • This is the same feature referenced by an automation's "assign an onboarding template" action — Automations can start an instance for you; you don't have to start every one manually.
